Business Process Automation Agency

We build automation that fits the way your business already runs, connecting the systems you use and taking over the repeated work in invoicing, client onboarding, approvals, reporting and document handling.

Solutions we've built power teams at:

  • Amazon Web Services
  • Auto Trader
  • Cedars-Sinai
  • Jet2holidays
  • Jaguar Land Rover
  • Dover Street Market
  • Dexters
  • Lookers

Every step, with a team who has automated this before

The worry with process automation is that it cannot handle the exceptions your business has, or that mapping them takes longer than the build. We have delivered more than 50 projects and know what makes an automation succeed.

  1. A free first conversation

We start with a call about the process you want to change, how it runs today and what it costs you in time. You leave with a clear view of whether automation suits it, and we will say plainly when automating it is not worth doing.

  2. Costs and savings, upfront

Before anything is built and before you commit any money, you get a written scope with a fixed price against it, the hours the automation removes each month, and the point at which the saving covers the cost. Nothing starts until you are happy with all three.

  3. Milestones agreed in advance

The work is divided into milestones written into the contract, each one a working part of the process you can use. Payment falls due as each milestone is delivered rather than in advance, which keeps the risk of the build on our side instead of yours.

  4. Support after it launches

Processes change, and so do the systems around them. We stay available afterwards to adjust what has been built as your business changes, fix anything that breaks, and extend the parts that are saving you the most. Continued support is not a condition of keeping what has been built.

Automation work we have delivered

Most automation work happens inside systems a business already relies on, so it is scoped around the process rather than around the technology.

  • CRM and Sales Automation for a Global Events Group

CodeLeap wired together a global events group's Pipedrive, SmartDocs and Xero so won deals raise Xero invoices, signed contracts update the CRM, and multi-event agreements split cleanly into per-event deals.

  • SBU

CodeLeap automated the full sales cycle for a client in the UK energy sector, from lead capture through to signed contract, increasing lead generation capacity by 5x in 3 months.

  • Insurance claims platform

Published under NDA, with the sector changed: CodeLeap builds and maintains the web platform a claims operation runs on, carrying every claim from the day it is notified to the day the work is signed off.

The tech

We work with the systems you already run rather than asking you to move, and where something new is needed we choose it on merit.

  • ERP systems

Orders, stock and financial records usually sit in SAP, Dynamics 365 Business Central, NetSuite or Sage, and any automation has to read from and write back to them correctly.

  • CRM systems

Sales and service processes usually run through Salesforce or HubSpot, which is why so much automation is built around the CRM rather than alongside it.

  • Accounting and finance systems

Automation pays for itself fastest where money moves, so invoicing, payment chasing and reconciliation in Xero, Sage or QuickBooks are common first projects.

  • Warehouse, inventory and logistics

Stock, picking and despatch run through systems such as Linnworks, Unleashed and Cin7, alongside the carrier interfaces that produce labels, tracking and proof of delivery.

  • Ecommerce and marketplaces

An order arriving in Shopify, WooCommerce, Amazon or eBay triggers most of what follows, so connecting the storefront to finance, stock and dispatch removes the re-keying between them.

  • Cloud hosting

An automation has to run somewhere dependable, so we host on AWS or Azure depending on how you already buy software, and on Supabase where a smaller build warrants neither.

  • Python and custom services

Some systems offer no way in and some rules exist only in your business, and both are cases for writing the automation in Python rather than configuring a platform.

  • OpenAI and Anthropic APIs

Reading an invoice, sorting an email or summarising a form needs interpretation rather than a fixed rule, and these models handle those steps under human review.

  • And much more

These are the systems that come up most often rather than the limit of what we work with. If your process runs on something older, more specialist or built in-house, we can still connect to it.

Any questions? We're here to answer

Everything you might want to know before starting a project with us.

  • Most single-process automation projects fall between £2,000 and £10,000, with a mapping and costing exercise beforehand running from £1,500 to £5,000. Larger programmes covering several processes start at £10,000. What moves the figure is the number of systems involved, how clean the data in them is, and whether any of them lack a usable interface.

  • A single process typically takes four to eight weeks from agreed scope to live use, and a mapping exercise two to four weeks before that. A programme covering several processes runs in phases over several months, with each phase live before the next begins. Legacy systems and slow access to data are what usually extend a timeline.

  • Yes, in almost all cases. Automation is normally built around the systems a business already runs, such as ERP, CRM, accounting, warehouse and logistics software, using the interfaces those products publish. Where a system has none, the work is done through its database or a custom service instead, which costs more but is rarely impossible.

  • You do. All code and intellectual property passes to you on payment, along with the accounts and credentials the automation runs on. Another firm could therefore take it on, and continued support is not a condition of keeping what has been built. Documentation is handed over with the work.

  • Running costs sit apart from the build and are usually modest. They cover hosting, any platform subscriptions the automation depends on, and usage charges where an AI model is involved, which vary with volume. These are estimated during scoping, so the figure is known before the build starts rather than after.
