Events, conferences and brand experiences

Bespoke software and AI for events businesses

We work with events, conference and brand experience businesses on the software behind the work, from the administration before an event to what guests experience during it.

Solutions we've built power teams at:

  • Amazon Web Services
  • Auto Trader
  • Cedars-Sinai
  • Jet2holidays
  • Jaguar Land Rover
  • Dover Street Market
  • Dexters
  • Lookers

What we build for events businesses

The work in events rarely stops at the platforms you use. It continues in spreadsheets, message threads and the hours your team spends holding everything together. We build the software that takes that work on, shaped around the way your team runs an event.

  • Automation for day-to-day administration

Quoting, supplier paperwork and post-event reporting all run on someone entering information that already exists elsewhere. We look at where the hours go, then build automation for the parts that repeat, whether that is chasing a document, producing a report or raising an invoice at the end of a job.

  • Crew and availability management tools

Shifts get confirmed in message threads, availability lives in a shared sheet and certificates sit in a column nobody checks until a client asks. We build scheduling and crewing tools that hold all of it in one place, with the checks and reminders built in.

  • Integrations between your existing platforms

The same job details get typed into a CRM, a proposal, an accounts package and then the client's reporting template. We connect those systems so information moves between them on its own. Tools that already do their job well stay, and we build around them.

  • Immersive and interactive brand experiences

Creative ideas often need more engineering than a team can carry in-house. We build the technology behind them, whether that is an immersive digital layer in a live space, something guests take part in, or a branded character that answers them, engineered to work on the day.

  • Personalised guest communication at scale

Most event communication is written once and sent to everybody, because tailoring it by hand does not scale. We build tools that use what you already know about who is coming, so each person receives something relevant to them before, during and after the day itself.

  • Data capture and client reporting

Clients now ask for evidence that an activation worked, and the hard part is capturing it rather than analysing it. We build the capture into the experience itself, then bring sign-ups, survey answers and interactions together into a report your client can read and act on.

Built with events teams

A few projects we're proud to share, each one advancing our mission to raise the bar and build a better digital future with our clients.

  • Events group sales automation

An international events group running more than twenty exhibitions and trade shows across the UK, Europe, the Middle East and the US was bridging its CRM, contract and accounting systems with people, which consumed a large share of the commercial team's week. CodeLeap automated those steps across Pipedrive, SmartDocs and Xero, delivered in three phases.

  • Dellar Davies

Dellar Davies is a specialist events agency in the travel sector where a few people were experimenting with AI independently, with no coordination and no shared view of what was possible. CodeLeap gave the leadership an impartial read on where AI genuinely fitted, function by function, together with a prioritised roadmap for acting on it.

  • AWS Girls' Tech Series

Amazon wanted to spark lasting interest in science, technology, engineering, arts and maths among girls aged eight to fourteen, and to make it free to anyone anywhere. CodeLeap built the platform with Marble LDN, designed from the start to carry future editions and territories rather than to serve a single campaign, and it has helped Amazon reach thousands of young learners.

Flexible, transparent pricing

Any questions? We're here to answer

Everything you might want to know before starting a project with us.

  • In fixed stages, which is what keeps a project aligned with your cash flow. Scope and price are agreed before the work starts, and each payment follows a piece of finished work rather than an open commitment. An AI readiness assessment is £3,000 and takes a week. Design and build of a first version starts at £5,000, and a full build from £15,000, and nothing beyond the current stage is committed.

  • It has to, so we plan for it from the first week. Most events businesses already run a CRM, an accounts package and one or two registration or scheduling tools, and the useful work usually sits in the joins rather than in replacing any of them. Where a system has no route in, that constraint is identified during scoping rather than after the work has started.

  • It stays yours. All code and intellectual property transfers to you on payment, and the information sits in a database you own, in standard formats you can export whenever you want. There is no charge per attendee and no licence fee for software we have written for you, whatever the size of the event. Continued support is available, and it is not a condition of keeping what has been built.

  • Usually before, because the work is phased rather than delivered in one release. The first phase is scoped to be useful on its own, so a project can begin in the middle of a busy calendar without a long wait for anything you can use. Where a date cannot be met, that is established at scoping rather than discovered halfway through, with your calendar in front of us.

  • It is part of the design rather than a later step. Consent is recorded against each person, so you can show what was agreed and when. Access is limited to the people who need it, and the same rules apply to what exhibitors and partners can see. Hosting can sit in the UK, and removing someone's record is a single action rather than a search across several systems.

  • Not always, and the exceptions are identified at scoping. AI is useful where there is enough consistent information for it to work from, and where records are scattered across events the honest answer is that organising them comes first and pays for itself. The £3,000 AI readiness assessment takes a week and includes a verdict where AI is not worth the investment, with what would need to change first.
