AI strategy and enablement for a specialist events agency in the travel sector
Dellar Davies, a specialist events agency in the travel sector, engaged CodeLeap for a clear, evidence-based AI strategy — an impartial assessment of where AI genuinely fits their operations and a hands-on programme to bring the whole team up to a shared level of capability.
What we did Delivered an AI strategy and enablement engagement for a specialist travel-events agency — operational discovery, tool-landscape assessment, a hands-on team workshop, a prioritised implementation roadmap and governance guidance.
Dellar Davies is a specialist events agency in the travel sector, delivering conferences, exhibitions and corporate events for clients across the industry. With a team of over a dozen professionals managing complex, multi-stakeholder events, Dellar Davies engaged CodeLeap to establish a clear, evidence-based AI strategy for the business — assessing where artificial intelligence could realistically create value across their operations, which categories of tools were suited to each part of the agency's work, and how to equip the whole team to adopt them with confidence.
Engagement highlights
-
Operational Discovery and Opportunity Mapping
We worked through the agency's operations function by function, from event planning and delegate management through to marketing, content production, prospect outreach and post-event reporting, building a picture of where time was being spent and where AI could meaningfully reduce effort or improve quality. Each opportunity was assessed on effort, likely impact and how well it fitted the way the team already worked.
-
Tool Landscape Assessment
Rather than recommending a single platform, we evaluated the categories of AI tooling relevant to an events agency and matched them to specific parts of the operation, setting out where a general-purpose assistant was the right answer, where a specialist tool would earn its licence fee, and where the honest recommendation was to change nothing at all.
-
Hands-On Team Workshop
We ran a practical workshop with the Dellar Davies team covering the fundamentals of how these tools work, what they are and are not good at, and how to get consistently useful results from them. The session was built around the agency's own material and real tasks the team faces each week, so people left having used the tools on their actual work rather than on generic examples.
-
Prompting and Working Practices
Alongside the tooling itself, we covered the working habits that separate teams who get value from AI from those who abandon it after a fortnight, including how to brief a model properly, how to review and verify its output, and where a human needs to stay firmly in the loop.
-
Prioritised Implementation Roadmap
The engagement concluded with a set of recommendations sequenced by value and ease of adoption, giving the leadership team a clear view of what to introduce first, what to trial before committing, and what to revisit once the earlier steps had bedded in.
-
Governance and Risk Guidance
We set out practical guidance on client confidentiality, data handling and the appropriate use of AI-generated material in client-facing work, so the agency could adopt these tools without creating commercial or reputational exposure.
Challenge
Running a busy events agency involves an enormous amount of coordination and content work alongside the core business of delivering events. The Dellar Davies team was spending significant time on promotional copy, client pitches, newsletters, social media, prospect research and the synthesis of post-event feedback into something the business could act on. A few individuals had begun experimenting with AI tools independently and were seeing promising results, but the effort was uncoordinated and the wider team had little visibility of what was possible or where to begin. The leadership team was also conscious of the noise in the market, with a great many products claiming to solve problems the agency did not have. What they needed was not another tool, but an impartial assessment of where AI genuinely fitted their operation and a way to bring the whole team up to a shared level of capability.
Solution
CodeLeap delivered an AI strategy consultancy engagement tailored to the specific shape of the agency's operations. We began with a structured review of how the business runs day to day, identifying the tasks where AI could reduce manual effort or improve output quality and, equally importantly, the areas where it would add little. From there we mapped tool categories to functions, so that each part of the operation had a clear recommendation grounded in how that team actually works rather than in generic best practice. The engagement then moved from analysis to enablement through a hands-on workshop with the team, working on the agency's own tasks and material so that the learning transferred directly into their week. We closed by handing over a prioritised set of recommendations covering which tools to adopt, in what order, and with what safeguards, giving Dellar Davies the ability to move forward under their own steam with a strategy they understood and owned.
Tech stack
The engagement was tool-agnostic by design, with recommendations drawn from across the current AI landscape and selected on the merits of each part of the agency's operation.
